Document Imaging in a County Service Center
The goal of building a client service center to support Medi-Cal, Food Stamps and other assistance programs is to improve the client experience, maintain high employee morale and ultimately become a more efficient and effective operation. A major hurdle to efficiency in the service center is the vast amount of paper included in a typical case load. Whether you have 15,000 or 150,000 cases, the amount of paper is overwhelming, negatively impacting facility storage space, work distribution processes and timely client service.
Therefore, imaging your documents is not the question.
The question is when, how and how much.
InTelegy can help you answer these questions. The service center is often the first and major customer of an imaging project. InTelegy has worked with many service clients to design and implement their document imaging strategy. InTelegy’s unique understanding of the client service process, combined with our expertise in project management, technology implementation and workflow process design, has been a proven success with document imaging projects.
InTelegy approaches our work on document imaging projects much like our customer service and inside sales methodology.
Phase I – Strategy and Plan
Every project requires a master plan, or blueprint, to follow. InTelegy will work with all key subject matter areas, including program, operations, facilities, technology and client support groups to build a strategy and plan for the document imaging implementation. The strategy and plan will:
- Identify the role that document imaging will have in the overall operation and recommend a roll out timeline for imaging
- Document high level goals, volume estimates and expense parameters
- Provide a summary of other county document imaging implementations
- Provide detailed business requirements for scanning, capture and indexing technology
- Document process, quality assurance, staffing and training requirements
Phase II – Implementation
The key to success in the implementation phase is proactive and detailed project management, and collaboration with key subject matter experts in the areas of program, IT, network/infrastructure, clerical, procurement and service center. InTelegy will work with these subject matter experts on an imaging committee to manage timelines, build processes, procure technology and ensure a successful document imaging implementation.
